Supplies & Essentials

The first part of the process is picking the ideal investment property in a location with favorable occupancy rates, income predictions, and short-term rental regulations  Our professional real estate brokerage will match you with a knowledgeable and skilled Real Estate Agent to pick the ideal property for long-term success.  We will do all the initial work to analyze the property's potential income, occupancy, and location rating.

Housekeeping

We will handle all aspects of housekeeping, billed to the guest.  We ensure high-quality sanitized and inspected properties before each check-in.  We offer 1-night minimums on properties in approved zones to maximize booking occupancy.  This requires a full housekeeping staff that is available 7 days a week and able to do a full clean between check-out at 10 AM and check-in at 3 PM.

Maintenance & Repairs

We will handle all basic Maintenance and Repairs for the upkeep of your home.  Prior to listing the property we will inspect various aspects such as AC, Kitchen Appliances, Lighting, and all the essential aspects of running a successful 5-Star Vacation rental home. We will give you a checklist and offer our maintenance team to tackle any initial items before launching the listing. Basic maintenance includes up to $300 in maintenance services.  Any jobs beyond this will be billed to the owner on a monthly basis at $60 per hour for labor + the cost of supplies.

Digital Tour Guide

We create a digital tour guide experience for your property that enables guests to be excited, guided, and inspired for their time at your property.  This is a very detailed and in-depth process focused on getting more 5 Star Reviews which leads to more bookings, more income, and more success.

This is the ultimate solution for property owners who want a hassle-free, no-stress, hands-off approach to managing their vacation rental properties. With this package, we will take care of everything and you will earn 80% of all booking revenue.

Our 9-Steps To Success

STEP #1

Secure The Property

The first part of the process is picking the ideal investment property in a location with favorable occupancy rates, income predictions, and short-term rental regulations  Our professional real estate brokerage will match you with a knowledgeable and skilled Real Estate Agent to pick the ideal property for long-term success.  We will do all the initial work to analyze the property's potential income, occupancy, and location rating.

STEP #2

Stage The Property

Once you have a property we move on to the staging. We send our staging staff to view the property and create a list of all necessary items and a quote to set your property up for success.  We have staged over 50 homes and have the best options for price and quality for a successful vacation rental.  We will work with your budget and our standards to ensure you have a profitable investment property.

Our staging team will contact the head of housekeeping to create an initial guest stocking list.  We will work together to create an “owner’s closest” to store all inventory for consistent guest satisfaction.  The basic essential supplies include Shampoo, Conditioner, Soap, Coffee, Toiler Paper, Paper towels, dish soap, laundry detergent, and any other basics to match your home and our standard for a 5-Star Guest Experience.

The initial order will fully stock the supplies and our housekeeping team will notify management when to restock and this will be an ongoing owner expense.

STEP #3

Obtain The Licenses

Each city has different licensing requirements for you to maintain a long-term short-term rental.  We will work with all city officials, create all necessary floor plans, submit all necessary documents, meet the Fire Department on-site, and hire the maintenance team to fulfill all required steps to keep the property licensed, listed, and active.

Our team will handle all the paperwork, phone calls, emails, and meeting with the city officials, Fire Marshall, and Maintenace during the licensing process.  Our fee for managing this process is $500 and you will be required to cover all licensing costs based on city regulations, all necessary supplies and materials for the fire inspection, pool safety, and the cost of maintenance to complete the job.

This is a very tedious process that typically takes 2-6 weeks.

STEP #4

Market The Property

Once the home is staged properly and the licensing is in the works we will send our branding team with a professional copywriter to describe your home for optimal performance on all booking engines including title, space description, and directions.  We will hire one of the best professional photographers we have in your location to create a high-quality photo experience from 25-30 Marketing Images, 5-8 Detailed shots, 3-5 Aerial Photos & 2D Floor Plans.  All images will be premium retouching and color matching, with a blue sky guarantee, and a 48-hour turnaround time.

The average cost is $425 for the photographer's services.  This is a necessary step for marketing the property properly.  We have found a 50%-250% increase in revenue and occupancy based on the quality and layout of photos along with the property listing title and description.

STEP #5

List The Property

Now you have the property staged, the photos ready and our marketing team will begin creating your optimal listing on all the relevant booking engines. We will collect all necessary market data using AIRDNA, PRICELABS and our group of experts in the area to decide on the Base Price, Low Price and High Price along with any necessary seasonal rates.  

We will use  AIRBNB, VRBO, Expedia, and Booking.com. We are currently integrating with Google Vacations, Marriott International Homes & Villas, and Direct Bookings with https://book.worldtravelerx.com/

Our team will set up all the relevant details such as directions, check-in details, and wifi codes along with the check-in and check-out procedure. We will handle all necessary calendar sync details to maximize your property's exposure. We set all properties on instant booking with 1-night minimums unless local regulations require different booking requirements.

STEP #6

Book The Property

We are now ready to book your property. The initial process can be slower than the long-term outcome. Our immediate goal is to book the property, provide a 5 Star Guest Experience, work to receive a 5 Star Review, and build consistently. We will leverage our 5 years of experience and over 10,000 positive reviews to give your new property credibility. We may provide some first-guest discounts to get the ball rolling.

We will pre-screen the guest to ensure we have a good idea of who we are hosting, we make it clear in your booking that we do not allow parties, we set age requirements based on the owner's preference and deposits when necessary.

Our marketing team will constantly review the status of your listing and make adjustments to help increase occupancy and booking income.

STEP #7

5-Star Experience

Now it is time to prepare for guests and ensure they have a 5-Star Experience.  This is we shoot to excel with hospitality and is a combination of our Front-Desk Team and Housekeeping Staff.  We have a dedicated front-desk team to respond to all booking inquiries, and all back-and-forth communication from the time they book to the time they leave.  Our Hospitality Desk handles chats on the booking apps, emails, and phone calls for each guest to handle all of their needs.

We ensure high-quality sanitized and inspected properties before each check-in.  We offer 1-night minimums on properties in approved zones to maximize booking occupancy.  This requires a full housekeeping staff that is available 7 days a week and able to do a full clean between check-out at 10 AM and check-in at 3 PM.

We handle 100% of the housekeeping process with our highly trained team using state-of-the-art technology to coordinate schedules, check-list, and inventory and we guarantee quick turnaround along with high-quality standards.  This cost is completely covered by the guest during the booking process.

STEP #8

Maintain The Property

We will manage all basic maintenance and repairs for the upkeep of your home. Prior to listing the property we will inspect various aspects such as AC, kitchen appliances, lighting, and all the essential aspects of running a successful 5-star vacation rental home. We will give you a checklist and offer our maintenance team to tackle any initial items before launching the listing.

Depending on your property we will work with local services for lawn maintenance, pool maintenance, pest control, and basic upkeep. Our team will directly communicate with all local service providers to ensure you won’t have to deal with the hassle. We will invoice you to cover the cost of these services, handymen, and basic upkeep.

Our team is constantly looking to work with the most reliable, affordable, and professional services treating your property like our home to keep costs as low as possible while ensuring our standard for a 5 Star Guest Experience.

STEP #9

Accounting for Your Property

We will do weekly ACH payments direct to your account based on our “check-in” system.  Once a guest checks into your property it will trigger a payment to your account.  Payments are scheduled on an average of 14 days from Check-In based on the property type and rental requirements.

We will handle all rental taxes on your property according to local, state, and federal tax guidelines.  

We handle income and expenses separately to make it very simple for accounting purposes.  You will be paid on a regular basis your rental income and we will invoice you separately for expenses. You will earn 80% of all booking income minus booking platform fees, taxes, and housekeeping costs.  We require a payment option on file to cover all up-front and ongoing costs such as repairs, maintenance, stocking supplies, and the World Traveler X Platform fee.  These will be handled with Stripe as our merchant provider.
You will be provided with monthly and annual financial data to ensure your property investment is profitable based on income, occupancy, and expenses.

ONBOARDING & LISTING
Getting you and your home onboarded means being licensed, permitted, insured, and guest ready. It means having wifi checked, utilities on autopay, instructions on power panels, water shut-offs, and any third-party vendors that you would like us to work with if issues arise.  It also means knowing bed sizes and wifi passwords, ensuring kitchens are appropriately stocked and supplies are on site.  It's a laborious process but needed to ensure those first few bookings are 5-star and remain that way during the duration of our time together.

DYNAMIC PRICING
Worth between a 10%-40% improvement in revenue verse ‘set it and forget it’ rate setting, our dynamic pricing software allows us to update your home’s pricing daily, adjusting for price based on seasonality, inquiry activity, comparable home prices, nearby hotels, actual reservations and even competitor homes and their booking frequencies and amounts.   We use software called PriceLabs.  

PROFESSIONAL PHOTOGRAPHY
Once your home is staged and set for success we send out the Branding Team with a Professional Photographer.  We have found a 15% -150% increase in booking rates based on properties with professional photographs vs the owner using their iPhone.  We will capture the entire home and potential guest experience from floor plans to aerial drone shots and detailed walkthrough photos.  

ON-SITE STAFFING
We have staff in the area that can go to and from the home, meet with guests (when available), oversee cleanings, and generally be your eyes and ears to the home.

Visits to the property in between reservations mean that you and your home have us attend to your home on an ongoing basis, whether by cleaners or World Traveler X Staff. It also means that damages and anything missing are usually accounted for and professionally attended to if/when discovered.  Staffing however does have limitations. We have an Hourly Work component in the event of matters beyond the scope of services, excessive, or unrelated work requiring World Traveler X support at the property if such work can be accommodated.  

World Traveler X is a Real Estate & Hospitality Management company.  Its core competency is listing homes for vacation and short-term rent, using its skills & knowledge to win bookings and oversee those reservations.   We also provide full-service housekeeping and maintenance in order to ensure 365 potential bookings.  We strive to have nightly bookings in locations that permit it and have minimum gaps between stays to maximize income on your investment property.  

HOUSEHOLD SUPPLY STOCKING
Each reservation is required to provide staple household items for the home including kitchen, bath, and general supplies.  These items are typically procured by World Traveler X staff and placed both on-site in a lockable storage area and likewise placed in the home per booking for guests.

ZERO PARTY & GOOD NEIGHBOR POLICY
Each property carries either or both a disclaimer or a contractual clause(s) that all guests must agree to indicate they will not exceed the maximum number of guests at the property (based on the limit indicated in the property detail),  that any additional persons determined to be on the property will result in either a cancellation of this Agreement and/or an additional charge as determined by Manager, that all local noise ordinances will be adhered to. Lastly, should any violation of a Good Neighbor policy (if applicable) or any violation of a Rule, either a City Rule or a House Rule, may result in the loss or partial loss of the security deposit.  In some instances, such deposits are held by a third party and we may not have the ability to enforce the payout of the same.

GUEST COMMUNICATION
We operate similarly to a front desk at a Hotel and have a near-around-the-clock response team for booking inquiries, guest support, and maintenance as needed. This means that middle-of-the-night reservation requests is not missed or lost to a competitor's home, or that your guests or your home suffer any emergency maintenance gaps or delays.

World Traveler X manages the guest selection. We rely on many factors to determine a good guest candidate for your home. Over 20,000 guests have stayed with us and we've been wrong less than .001% of the time.

DAMAGE AND CLAIM FILING
While uncommon, from time to time, damage may occur (beyond wear and tear).  Depending on the booking site in which the reservation occurred, World Traveler X may provide support in claiming the damage (photos, video, write-up) submission for processing as well as return visits to the Property and replacement/restoration if feasible.

CONCIERGE SERVICES
Enhance your guest's experience with 5-star concierge services. Expanding our in-home services means that guests can have access to things like in-home grocery delivery, baby items while traveling, restaurant and entertainment reservationist, and specially curated events like beach fire pits & bbq's, hot air balloon rides, and more.

NOISE MONITORING
Noise is the #1 problem in the short-term rental industry. For an additional monthly fee, we can install noise sensors that detect and prevents noise violations at your property.

LICENSING / PERMITTING
World Traveler X can help with all filing permits for short-term rental registration and transient occupancy tax purposes. This means we will provide to the municipality, in concert with the homeowner (applicant) all necessary paperwork and addendums.

INSURANCE
Short-term rental insurance is required for all World Traveler X homeowners. Airbnb has insurance built into their platform and some booking site. do not provide insurance.  We can refer you to our partners who can seek to provide comprehensive, affordable coverage that will be specific to your arrangement depending if you're using the home from time to time, or if it's a full-time short-term and/or long-term rental. If you have alternate coverage and would like to stay covered as such, you’ll need to provide proof of insurance with World Traveler X covered either for liability claims and/or as an additional insured.

Insurance surrounding managed rental properties is an industry-standard requirement of the additional insured language.  

CLEANING & MAINTENANCE
We do everything we can to help you generate as much revenue as possible from your rental and save you time by doing most/all of the work for you. This includes arranging the cleaning (post-guest and post-owner stays); calling in the handyman, plumber, electrician, and landscaper when needed; restocking household items; taking care of trash and recycling.

Having a network of cleaners available to us means your home gets the same cleaning team every time. That way processes are systematized and you do not run the risk of non-standard cleanings or worse, missed cleanings, costing you refunds, cancellations, and bad reviews.
